Terms and Conditions
BY SENDING THE BOOKING FORM & MAKING A DEPOSIT PAYMENT, YOU ARE CONFIRMING YOU AGREE TO THE T&Cs LISTED BELOW.
YOUR BOOKING:
By sending the booking form, you are giving your consent to accept all terms and conditions listed. It is the lead party’s responsibility to ensure all party members are aware of them and adhere to them.
● Failure to disclose all relevant information on your booking form, failure to return the booking form, or non-compliance with the terms & conditions, will result in the termination of the reservation. The booking cannot proceed without the returned booking form; should you fail to return the booking form within 1 week this will result in the termination of the booking – the deposit will be non-refundable as the terms & conditions have not been met by you.
● Although the caravan is an 8-berth, reservations for over 6 people are completely discretionary and your booking may be unable to proceed based on the total number in your party. If there should be a problem, you will be informed of this as soon as possible.
● Your booking is non-transferable.
● ONLY those named on your booking form are permitted to stay overnight in the caravan. Spot checks may be made by someone appointed on site to ensure this is adhered to. Should this not be the case, you will be required to leave immediately, you will not be entitled to a refund and the deposit will be non-refundable.
● If alterations need to be made, you will receive a new booking form and will be required to re-send it for the reservation to proceed.
DEPOSIT:
You are required to forward the stated deposit within 3 days or sooner if last minute booking before your booking can be confirmed.
● The £175 damage deposit secures your required dates.
● By paying the deposit, you are accepting the terms and conditions.
● Should the caravan be left in an untidy or dirty condition, you may forfeit some, or all the deposit. Under these circumstances, photographic evidence will be taken where possible and forwarded to you.
● On your departure, if the caravan has been left in an acceptable condition and no damage or breakages have occurred, the deposit will be returned to you within 10 working days from date of departure. Your Bank details will be required to enable us to refund the damage deposit to you.
DAMAGE & BREAKAGES:
● The caravan is thoroughly checked prior to your arrival. If any problems are found that cannot be rectified before your arrival date, you will be notified immediately where possible, along with the details in place for repair. If this affects your stay, you will be notified accordingly and be fully refunded, or given the opportunity to book a suitable alternative date at the same price as the original agreement, subject to availability.
● Should any damages or breakages occur during your stay, you MUST notify us immediately. You are liable for any repair or replacement costs applicable. This will be deducted from the damage deposit paid, or you can replace yourself on a like-for-like basis.
● Should any damages or breakages be found after your departure, you will be notified of the details as soon as possible and you will be forwarded photographic evidence where possible. You are liable for all repair and replacement costs, which will be deducted from the damage deposit.
● Should repair or replacement costs be greater than the damage deposit paid, you will be held liable and will be invoiced accordingly. Should the invoice not be paid, legal action will be taken to recover the costs involved and you will be held liable for the legal costs incurred.
● Should any damage or breakages affect subsequent bookings in any way, you will be held liable for any refund costs to other guests and will be invoiced accordingly as soon as possible after your departure date. The invoice will be required to be paid in full within 14 days of its date. Should the invoice not be paid, legal action will be taken to recover the costs involved and you will be held liable for the legal costs incurred.
● Outside furniture is provided, we have lovely lounge furniture that we supply without the cushions. If you would like to use the cushions a key will be available to access them however they must be kept out of the rain at all times and locked back in the security chests when not in use.
● Should any ‘accidents’ such as urine, blood or food stains occur to any linen or mattress/pillow protectors provided during your stay, you are expected to launder these on site as soon as possible and certainly before departure. These are obviously regularly laundered in-between guests, but this sort of ‘soiling’ is expected to be dealt with by you as soon as possible. There is a launderette on site for your use. The charges for any additional or badly soiled laundering after your departure is £20.00 per item.
● Details of any existing damage, soiling or missing items not caused by you should be communicated by email to rockleypark120@gmail.com within 24 hours of your arrival. If we are not informed within this period, you may be held responsible for this damage and may forfeit some or all your damage deposit.
YOUR HOLIDAY:
● Your holiday is on a self-catering basis and includes bedding but does not include towels. Please see the additional information for the services and things that you can hire should you need to such as towels, cots, high chairs, fans, etc
● All utilities (gas, electricity, water) are included in the overall cost of your break on a fair-use basis. Any excessive use of gas or electricity will be charged for. Please DO NOT charge electric cars from the caravan.
● You will have full use of all the items provided in the caravan.
CHECKING IN & OUT:
● You will be informed of the earliest arrival and latest departure times within the week leading up to your arrival. This will be dependent on other bookings, but it will be endeavoured to give you the longest time possible on the site.
● The times you will be given are non-negotiable.
● Should you arrive early, it is highly unlikely that you will be able to access the caravan before your specified check-in time.
● Should you depart later than the specified check-out time, you may forfeit part or all the damage deposit, as this will affect the arrival of any subsequent bookings.
KEY COLLECTION:
● There is in the key safe at the property. Key safe codes will be emailed and text to you on your arrival day.
● The keys MUST be returned as per instructions at the specified departure time, or you may forfeit part or all the damage deposit.
● You will be held liable for any loss of keys and the cost of lock and key replacement should this occur.
SAME SEX GROUPS / AGE LIMIT BOOKINGS:
● The site has certain limits on same sex groups: most UK holiday parks will not allow 3 or more same-sex persons to occupy one caravan. This does not apply to same-sex couples, nor would it prevent family members from being able to book (for example, Grandmother, mother, daughter). These ‘rules’ are simply to prevent large groups of same-sex parties (hen and stag nights) from occurring on site, as it is a family-orientated holiday at all times.
● The lead party must be 25 years of age at the point of booking.
● If the lead party is 25 years of age, but the remainder of the party is younger, apart from single parent families, your booking cannot be accepted.
● Rights are reserved to refuse your booking based on the ages of your group. You will be advised as soon as possible should there be a problem with your booking requirements.
USE OF THE CARAVAN:
● Illegal substances of any kind will not be tolerated, under ANY CIRCUMSTANCES. You will be required to leave immediately if any reports are made of such usage, in or around the caravan during your stay. ANY illegal substance is NOT permitted to be kept in or around the caravan at any time. The damage deposit paid will immediately become non-refundable should ANY evidence of this be found and the incident, along with your full details, will be reported to the local Police services.
● You are always expected to respect the property and its contents and may forfeit part or all the damage deposit if this is not adhered to.
PETS:
● Dogs and pets are not allowed in the caravan
SMOKERS:
● STRICTLY NO SMOKING within the caravan or on the decking.
SAFETY:
● NO candles are to be used inside the caravan at any time.
● Under NO circumstances are BBQs of any kind permitted inside the caravan or on the decking.
● Outdoor BBQs are permitted but away from the caravan and not on the decking areas and a responsible adult MUST always be present. You MUST ensure they are suitably extinguished before leaving them unattended. And cleaned before departure.
SECURITY:
● ALL windows and ALL doors MUST be shut and locked securely when you are leaving the caravan unattended, even in hot weather. Failure to do so will immediately forfeit the damage deposit paid and you will be held liable for any incidents occurring as a result of your negligence.
● Should you leave any of the caravan’s equipment or facilities unattended and unsecured outside of the caravan, you accept full liability for them.
PASSES:
You will require passes to access certain activities on site. These are purchased at reception. They are subject to availability and we cannot be held liable should activities not be available.
UNREASONABLE BEHAVIOUR:
● During your stay, you are expected to respect our caravan, the site, the site facilities, its staff and those staying around you.
● Should we be informed that there is excessive noise or unreasonable behaviour in the caravan, or that other holiday makers have been disturbed or that security/police have been called to the caravan, you will not be entitled to any refund as you have not adhered to the terms and conditions.
● You will be asked to leave immediately if any unreasonable behaviour occurs from ANY member of your party that may impair enjoyment, comfort or health of any guests or staff. This includes, but is not limited to, verbal & physical abuse. You will not be entitled to a refund and the damage deposit will be non-refundable should these circumstances occur.
DATA PROTECTION:
● The information you provide on your booking form is held securely and dealt with in accordance to the General Data Protection Regulations (2018). By providing the information, you are giving consent for all party members to this.
● Your information will not be passed on to any other parties at any point, unless legally required, or for the purposes of crime prevention.
● You should be aware that some CCTV cameras are present on site for crime prevention and safety reasons.
COMPLAINTS:
● It is IMPERATIVE if you should have ANY complaint that contact is made immediately. All contact details are listed in the ‘Welcome’ folder within the caravan. Any complaints made AFTER your departure will not be considered.
● Arrangements will be made straight away to rectify the situation. Should this not be possible, you will be informed of the date rectification can be made. Should this impair your break in any way, you will be informed of the % of refund you are due in lieu of the situation.
● If the situation cannot be rectified to your satisfaction, you must NOT stay in the caravan and a full refund will be issued.
● A FULL refund can ONLY be issued if NO overnight stay has occurred.
● No responsibility is accepted for any arising situation which affects the entire site, such as loss of electricity/water.
LIABILITY:
● No responsibility is accepted for any loss or damage to you or your possessions during your stay.
● You are strongly advised to seek your own travel insurance
