GENERAL BOOKING CONDITIONS - Thank you for choosing to book your holiday with, and hope you have an enjoyable stay. We would ask that you read our T&C carefully they, along with your booking confirmation, make up your agreement with us. We are not connected to Haven/Bourne leisure and offer private rental guests either 3, 4, or 7 night stays within our self catering holiday home. Your agreement with us is for the holiday home only. We ask all guests to make sure they have holiday insurance cover to cover any eventuality.
Please alert us when booking if anyone has any allergies or health/mobility issues, so we can make sure that this holiday home is best suited to your needs.
We are aware that going on holiday is very exciting for families, especially for children, however we do ask that everyone within the holiday home treats its contents and furnishings respectfully. We understand that at times accidents may happen, but would ask guests to inform us of any incident at the time, rather than we find out about lost, broken items, stains, etc at changeover, We kindly ask all guests to remove shoes on entering the holiday home.
Please also be aware that between each let we do take photos, and a walk round video of the holiday home, so if any damage should occur we know exactly when this has happened and where possible will have any repairs carried out prior to a guest arrival. If this is not possible we will alert guests to the damage so you are not worried may have happened during your stay. Photos and video are date stamped. Please see damage section below.
Bookings will only be accepted from hirers who are twenty five (25) years of age and above. To achieve a family friendly atmosphere on park, we can only accept bookings from families and couples. We are not permitted to accept bookings from groups of young people, all-adult, or single sex groups, ie, hen or stag parties, or workmen. Please check the HAVEN website for guest restrictions, and the Park T&Cs, which you agree to follow also.
All guests will be asked to complete our registration booking form. This should include the names of all adults, names and ages of children aged 0-15yrs. Home address, telephone number, email address and car registration number. Our maximum number of guests in this holiday home is 4. This information will be held by Haven for 30 days, and then either deleted or fully anonymised.
No subletting or reselling of the holiday is permitted. Any guests staying who are not listed on the booking form, you will be asked to leave the holiday home, and no refund will be given.
The hirer agrees that all persons named on the booking form will be with them during the hire period, and will be responsible for their conduct. The hirer will take steps to ensure their party do not cause nuisance, disturbance, or inconvenience to others. Park owners have a copy of your information for everyone’s security on park.
The caravan owners reserve the right to refuse any booking without obligation and/or reserve the right to terminate any booking for whatever reason at their absolute discretion.
In the unlikely event that the caravan becomes unavailable for any rental period due to events out with our control, then we may be forced to cancel a booking, every effort will be made to arrange other accommodation but this may not always be possible.
We will
advise the hirer asap, and a full refund shall be given. The hirer will have no further claim against the owner
1. DEPOSITS AND PAYMENT
A Provisional booking will be accepted, subject to receiving the booking form and a £100 deposit within 48hrs. The deposit is non refundable or transferable. Payments are accepted by bank transfer please use Lead Guest name as reference. Please alert us to payments once made.
PLEASE NOTE NO HOLIDAY WILL COMMENCE WITHOUT THE BOOKING FORM BEING RETURNED TO THE OWNER. It is the responsibility of the hirer to return the signed form by email or post.
If the deposit is not received it is assumed by the caravan owners that the provisional booking is no longer required.
THE BALANCE OF THE HIRE CHARGE IS DUE 12 WEEKS PRIOR TO ARRIVAL, this will allow private rental guests to take full advantage of the new activity booking system. If the balance is not received within this time frame, then the caravan owners reserve the right to hire the caravan to someone else. Bookings taken with less than six weeks remaining can only be accepted if payment is made in full and received within 24hrs.
The deposit will be refunded after your stay within 48hrs should the holiday home be left as found, please see damages below.
2. CANCELATIONS
DEPOSITS ARE NON-REFUNDABLE IN THE EVENT OF CANCELLATION.
We strongly advise that you take out travel insurance. If you choose not to then you accept responsibility for any loss that you may incur due to your cancellation
DAYS BEFORE ARRIVAL GUEST CANCELATION CHARGE
42 days or more Deposit amount if paid.
42 days to 29 days Deposit amount or if balance paid 50% of the holiday price.
28 days to 8 days Deposit amount or if balance paid 75% of the holiday price.
7 days or less Deposit amount or if balance paid 100% of the holiday price.
In the event of a cancellation, the hirer must confirm this by email or phone. (Deposits are non refundable in the event of a cancelation.
If the hirer fails to turn up to the start of their stay, no refund shall be given.
No refund will be made to the hirer whose hiring has commenced and who vacates the caravan for any reason including an emergency at home.
If you are asked to vacate the caravan or holiday park by the park owners or members of staff, caravan owners, or you or a member of your party are removed from site by the Police, or for any reason whatsoever, no refund shall be given
3. UPON COMMENCEMENT OF HIRE
IF YOU NOTICE ANYTHING WITHIN THE HOLIDAY HOME THAT IS BROKEN OR NOT WORKING , PLEASE LET ME KNOW, IN NOT DOING SO IT COULD BE THAT YOU ARE HELD RESPONSIBLE.
SELF CHECK- IN
The holiday caravan can be occupied from 3pm onwards on the first day of hire. Please do not arrive at, or enter the holiday home before your check in time. We will forward information for self check-in to guests by text or email on day of arrival. Should your check in time be delayed due to events out with our control we will contact you to let you know and do everything to minimise any delay.
We will provide guests with one set of keys, please return the keys to the safe on departure . Should you take the keys home accidentally we would ask that these are returned by signed for post at your own expense. Should you lose your keys during your stay, we will withhold your deposit.
We provide guests with bedding, beds will be made up for your arrival. Each bed has mattress encasing, mattress, pillow and duvet protectors, sheets, duvet cover and pillow slips. ` Bath towels, 2 hand towels and a bath mat, tea towel and oven gloves are all provided. These are for caravan use only. Please do not remove the protectors from any beds.
WE CANNOT ACCEPT GUESTS PETS in this holiday home. In the event the guest is found to have their pet in the holiday home we will ask you to leave and no refund will be given.
We would please ask guests to not smoke or vape within the holiday home, please dispose of all cigarette butts in the nearest bin outside. No candles or bbq to be lit or used within the caravan, or decking area. Please do not leave any chargers unattended or overload plugs, this could cause the electrics to trip.
Only the people named on the booking form may stay overnight in the holiday home. If we find that the holiday home is over occupied, we will ask you to leave and no refund will be offered.
We would ask that if you have buggies, that they are not left open within the holiday home, we have known them to cause significant damage to doorways.
Please supervise children at all times, colouring pens, loom bands, glitter, luminous objects, plasticine, etc can cause unnecessary damage to soft furnishings, floor coverings, and vacuums, marks can be expensive to remove.
Please do not attempt DIY. If the repair is non urgent and will not impact on the enjoyment of your stay, it will be carried out when the holiday home is vacant. If there is a maintenance problem please inform the owner in the first instance, we will organise for the repair if urgent to be carried out as soon as possible.
Please do not store bikes, scooters, and other sporting equipment within the holiday home or chain bikes to the decking.
Wall, ceiling or floor vents must not be covered or taped closed.
We provide seating for our guests on the decking area. Cushions are available behind chair in lounge. We are happy for guests to use these on the condition that they are returned neatly, dry and clean, to the storage bench after use. The parasol, please do not leave open when unattended, Please supervise children as with the furniture being rattan effect, it may not withstand children jumping, damage to furniture will be held from your deposit.
The owner cannot be held responsible for others holidaying either side of Caravan at Seton Sands , and in the event of excessive noise disturbance, causing a nuisance of any kind then please call security, on 07899 960 348 due to this being out with our control no refunds will be given.
The holiday park owner, the caravan owner and their staff do not accept liability for any loss or damage to the hirers property and or accidents, injuries, illness, disease, arising from the hire of the caravan or use of the holiday park.
We do not accept responsibility to any damage to your vehicles while parked out side the caravan or any car park on site.
4. CHECK OUT
Check out is before 10am, we would ask guests to please be on time, delays to check out then affects our cleaning schedule for the day. You are more than welcome to remain on park to use the facilities but we would ask you move your car to the main car park.
PLEASE LEAVE THE HOLIDAY HOME AS FOUND
Could we please ask guests prior to departure to walk round and check nothing has been left behind, should anything be left we will contact you and can return items at your expense.
Please strip duvet covers, pillow slips and fitted sheets from the beds and place In the washing bags, I will then strip all protective bedding on change over, we thank you for your co-operation.
Please be aware that make-up foundation, face medications and creams, tanning products, pens, paint, glue etc will stain and or bleach our linen and towels. Unsalvageable linen will be charged at the replacement cost to your security deposit.
Please after use, ensure that the oven, grill, dishes you may have used, pots, pans, cutlery, coffee machine, toaster, kettle, microwave, are left clean and dried before putting away after use. A cleaning pack is provided ie washing up liquid, sponge, disinfecting spray, dishwasher pods, glass cleaner etc.
In order to prevent possible blockages, please do not dispose of food waste, dangerous liquids, fats or feminine hygiene items, or baby wipes down the toilets, sinks or shower tray
Please empty the contents from the fridge freezer before departure, but do not switch the appliance off.
Please make sure that all lights are switched off, and that there is no water left running. Please close and lock windows and doors, remove rubbish from the caravan to the nearest on site bin station.
Please return the keys to the safe on your departure.
Please notify me by text should you leave prior to 10am.
Any extra cleaning of the above will incur a cleaning Fee of £40
5. DAMAGES
We would ask that if any of your party cause damage during your stay that you alert us as soon as possible. Damage and breakages amounting to less than £100 will be deducted from your deposit, and the balance IF ANY shall be refunded. Should the damage be excessive ie, damage to internal, external walls, tv’s, doors, fridge freezer, etc or we need to hire professional cleaning services to clean soft furnishings, mattresses, carpets, or if the item must be replaced, you agree to cover all costs.
In the event of malicious damage being caused to the caravan. We as owners of Caravan at Seton Sands, will ask the hirer to leave. Site security reserve the right to contact the police, no refunds will be given in this event. We will recover the cost of all damage caused, from you. All damage must be paid for.
6. EVENTS OUT-WITH OUR CONTROL
Unfortunately, we will not accept responsibility or pay compensation if we have to cancel or change your booking due to events beyond our control. We will not accept liability for any injury or loss or damage you suffer because of events beyond our control. Some of the things we mean by “events beyond our control” are fire, flood, explosion, storm or other weather damage, break-in, criminal damage, riots or civil strife, industrial action, natural or nuclear disaster, epidemics or pandemics and adverse weather conditions, war or threat of war, threatened terrorist activity and unavoidable technical problems with transport. We recommend all guests take out adequate holiday insurance to cover for all eventualities
7. PLEASE NOTE
All utilities (Gas, water & Electricity) are included in the overall cost, on a fair-use basis, we take meter readings prior and after each let.
We're really happy that some of our guests are using hybrid cars to help protect our lovely environment. Please do not use your caravan holiday home electricity to do this. There are two new charging points in the main car park of Seton Sands Holiday Village. There are charging points in Port Seton, Prestonpans and Tesco Musselburgh.
Should you charge your car regardless we will charge per unit for electricity used and deduct from the deposit and refund the balance.
If you are unsure how to use any of the equipment provided there are instruction sheets within the folder on the ottoman. Do not attempt to use anything that you are unsure about.
The caravan owner will not be considered liable for any injury caused by improper use of any equipment within the caravan or on Seton Sands Holiday Village.
